Website Updates

October 25, 2018 by Jeanette Leave a Comment

While you have been busy pressing and punching down the grapes, we have been busy pressing the keyboard and punching down code (trust me, you had more fun), and we rearranged things on the website. Some key changes are:

  • Go directly to all the courses from the Courses tab in the top menu
  • The webinars are now mini-courses and are listed under the Advanced courses
  • Access our all-new My Favs page under the Account tab for all of the courses you have favorited
  • Find the Blog/Quickies link in the footer

Most importantly …. drum roll …. we are launching Office Hours, the last Tuesday of the month at 10:30 am Pacific.

Here is a video to show you around…

SVB Annual Wine Survey – Heads Up

September 27, 2018 by Jeanette

The winemaking team is preoccupied with the crush, and the accounting team is just twiddling their thumbs (Ha, we never get to do that…). Rob McMillan at Silicon Valley Bank is preparing his annual Wine Report and he needs your input. Each year, 20 percent of the wineries in the US participate in this survey. Of course most of these are the large wineries. Let’s make sure that the boutique and family wineries are represented. If you want to know some benchmarks that are useful for you, the small winery, this is how they are generated.

From October 1 to October 19, the survey will be open. If you participated last year, you will receive an email. But if this is your first time, look for the announcement in industry publications or check back here for the link to the official survey.

In the meantime, here is the list of questions so you can prepare your answers.

Year End Preliminary Checklist

September 18, 2018 by Jeanette

Harvest has begun, that means that the year end is right around the corner. While you are waiting for the grapes to ferment, this is a great time to review your file to make sure that you are caught up with the bookkeeping tasks. If you do these now, you won’t have to scramble next year when you need to send the file to the tax preparer.

We call it the Preliminary Checklist because this gets the file ready for the year-end. There are additional tasks to be completed to officially close out the year.

One key task is completing what we call The Costing Book. We  can start to lay this out, but it cannot be completed until several of the tasks on this list are completed. Please note that if you would like our assistance in completing The Costing Book, this Year End Preliminary Checklist must be completed before we will begin that step.

This video is an overview of each step. For some companion videos check out these quickies.

  • How to clear old banking transactions
  • How to clear old accounts receivable transactions
  • How to clear old accounts payable transactions

This video (must be a Silver Club member to view) will show you how to find all the information. I will add more videos to show you how to do all of the steps. If you would like assistance, use this link to set up a coaching session https://QBWinerySolutions.as.me/Coaching

Bundles and Packs

September 11, 2018 by Jeanette Leave a Comment

Do you offer bundles such as a vertical of your award winning wine, or packs like Summer Picnic Pack or Holiday Gift Trio?

Or do you run your wine club straight out of QuickBooks (and not through your POS or eCommerce program)?

If so, this webinar is for you. There are 2 tools in QuickBooks that will save you time. These are Assemblies and Groups, but when is the best time to use each one and how do you use them?

This video (must be a Silver Club member to view) will walk you through the steps.

Entering Square Sales into QB Desktop

August 15, 2018 by Jeanette 1 Comment

Square is one of the most common credit card processing services that is used by startup wineries. I actually recommend the program because the fees are reasonable and the reports are very useful.

This procedure shows how to enter the sales detail into QuickBooks Desktop. I recommend the Sales Summary procedure, but there is one variation on the usual procedure, and I show you all the steps. I also show you how to pull the reports that you need.

This procedure is only for QB Desktop (either PC or MAC), because Square has an automatic sync for QB Online. This means that the each sale in Square is automatically “pushed” into QB Online. The sync is similar to the Push-In method, but there are some time-savings steps included in the sync. I cover these steps in another procedure.

This video walks you through the steps. First, download the procedure so you can follow along. There are 2 versions of the procedure: one with screen shots so you can see the steps, the other is without the screen shots so you can use it for a checklist.

This video (must be a Silver Club member to view) will walk you through the steps.
